📬 MailFlow

📣 What this app will do for you

This app will give you a desktop email client for Windows that organizes as it syncs — IMAP and SMTP accounts with Gmail and Outlook presets, smart bundles that show the reason every message was filed, Needs Action and waiting-for-reply lists, snooze, full-text search, and purchase and travel details pulled from the message itself, with passwords kept in the Windows DPAPI vault and remote images blocked by default. Heads up: Windows 10/11 only; Google and Microsoft sign-in use your own app credentials, summaries are local extraction rather than cloud AI, and no carrier tracking lookups are performed; the .exe is unsigned, so SmartScreen may warn on first run. Backed by a 7-day money-back guarantee.

A desktop email client for Windows that organizes your mail as it syncs — and can always tell you why. Smart bundles file every message with the reason shown, a Needs Action list surfaces what actually needs you (with the exact signal that flagged it), and a waiting-for-reply view tracks the answers you're owed. Your passwords live in the Windows DPAPI vault, remote images stay blocked until you say otherwise, and everything — sync, search, summaries — runs on your own PC.

What it does

  • Your real accounts. IMAP/SMTP accounts with Gmail and Outlook presets, incremental background sync that only fetches what's new, and per-folder sync status that's honest when something fails. Google and Microsoft sign-in (OAuth) use your own app credentials — you register the app, you hold the keys.
  • Smart bundles that show their work. Mail is filed into bundles — purchases, travel, finance, social and more, plus bundles you define — and every message keeps the reason why it was filed there. Disagree? Reassign it, and MailFlow learns a per-sender rule from the correction.
  • Needs Action, with the receipts. Threads that need a reply, an approval, a payment, a signature, a review or a follow-up are listed with the exact signal that flagged them — not a black-box score. Dismiss or snooze each one; your own reply clears it.
  • Waiting for reply. Threads where the last word is yours and an answer is expected, sorted by how long you've been waiting, with reminders that surface on schedule.
  • Snooze that resurfaces. Later today, tomorrow, the weekend, next week or a custom time — snoozed mail comes back when you asked for it, including after a restart.
  • Search that understands you. Full-text search over everything, plus natural-language queries ("invoices from last month", "flights in December") that show you how they were interpreted.
  • Purchases and travel, extracted. Orders, totals and delivery details pulled out of your mail and shown as detected, with the source snippet. Tracking numbers are shown from the email itself — MailFlow never scrapes carrier sites. Travel mail groups into trips, and .ics invites add to a built-in local calendar.
  • Compose without accidents. New, reply, reply-all and forward with quoting; drafts auto-save locally and mail is sent only when you click Send — never in the background.
  • Private by construction. Passwords and sign-in tokens live only in the Windows DPAPI vault, never in the database or logs; HTML mail is sanitized and remote images are blocked by default; phishing indicators are shown as indicators — labeled, never dressed up as verdicts.
  • One file, no installation. The whole app is a single .exe (~72 MB). Download it, run it — there is no installer and nothing else to set up.

⚠️ Read before you buy — requirements and limits

  • Windows 10/11 only. MailFlow runs on Windows today. No macOS version is included in this purchase — there is no Mac build yet.
  • The app is unsigned. Windows SmartScreen will warn on first launch ("Windows protected your PC"). Choose "More info → Run anyway" — only for the file you downloaded from this page after buying.
  • Summaries are local extraction, not cloud AI. Thread summaries quote the thread's own sentences and pick out decisions, questions and action items by pattern. Nothing is sent to an AI service, and no AI writes your replies — the compose tools adjust greetings and closings only.
  • Sign-in uses your own app credentials. Google and Microsoft sign-in require a client ID and secret you create in your own developer account (the app walks you through it). Regular IMAP/SMTP logins with an app password work without any of that.
  • Tracking is display-only. MailFlow shows tracking numbers and status text from the email itself. It does not query carrier websites, so live delivery status comes from your inbox, not the carrier.
  • Local cache, your mail stays yours. MailFlow keeps a local copy of your mail on your PC for search and offline reading, with per-account retention you control. It never uploads your mail anywhere.

If any of the above is a deal-breaker for you, MailFlow isn't for you yet — and we'd rather tell you now than after checkout.
