📝 Minutes Studio
NEW Beta Windows📣 What this app will do for you
This app will give you meeting minutes in your own organization's format: teach it once with a few approved minutes and it drafts new minutes in that format from your notes, transcripts and agendas, with motions, votes, decisions and action items pulled from your materials — and a strict rule that anything your materials don't establish stays a visible placeholder instead of being invented. Heads up: Windows 10/11 only; this is a brand-new 1.0 release; AI polish is optional, runs on a provider you configure, and touches discussion-summary prose only — the factual drafting is local; transcription needs a provider you configure, and there is no OCR, live recording or meeting-platform import; the .exe is unsigned, so SmartScreen may warn on first run. Backed by a 7-day money-back guarantee.
Meeting minutes in your organization's own format — learned from your approved minutes, not imposed by a template. Teach it once with a few minutes your organization already approved; from then on it drafts new minutes in that same format from your notes, transcripts, agendas and recordings. One rule never bends: it does not invent motions, votes, names or deadlines — anything your materials don't establish shows up as a visible placeholder for you to confirm, and every fact it extracts links back to the passage it came from.

What it does
- "Teach the AI My Minutes." First run opens a guided wizard, not a settings page: name your organization, upload 3–4 previously approved minutes (.docx, text-layer .pdf, .txt, .rtf), and the app proposes a Style Profile — heading conventions, attendance presentation and ordering, agenda numbering, how motions, seconds and votes are recorded, action-item placement, signature blocks, and fonts and spacing where the file format exposes them. You review and correct every proposed rule. Nothing is adopted until you approve it, and facts found in your examples are never copied into new minutes as content.
- The accuracy law. Missing elements are rendered as visible placeholders —
Motion seconded by: [Confirmation required],Vote outcome: [Not recorded]— never filled in by guessing. In the editor's evidence view, every fact shows the material and passage it was extracted from. - A deterministic local engine does the drafting. It segments your materials by agenda item and detects motions (mover and seconder), vote outcomes (unanimous, counted, carried or defeated), decisions and resolutions, action items with owners and deadlines, pending business, and references to previous meetings.
- Your instructions, your way. "How I Want My Minutes Prepared" gives you structured controls plus an unlimited free-text box, per organization and overridable per meeting. When your instructions and your style profile conflict, the app shows you the conflict — it never silently picks one.
- Multiple organizations, fully separated. Each organization keeps its own reference library, style profiles, members, meeting archive and action-item register. One organization's profile can never leak into another's minutes.
- A real editor. Full text editing with formatting controls, undo/redo, find & replace, autosave with unsaved-changes protection, version snapshots, reviewer comments, and click-a-fact evidence. Facts you have corrected are locked against later automated edits.
- "Check My Minutes" quality control. Fourteen rule-based checks — missing sections, deviation from your approved format, unsupported statements (facts without a source), incomplete motions, missing vote outcomes, ownerless action items, deadline-rule violations, spelling, and more. One-click fixes apply to formatting only; facts are never auto-changed.
- Continuity without contamination. Approving minutes moves their open action items and unfinished business into your register. When drafting, the app suggests a reference only when the new materials actually mention the item — a carry-forward section is added only when you explicitly ask.
- Real exports, real states. Editable .docx with headings, tables and signature lines, .pdf, and .txt, plus print and print preview. Documents move Draft → Ready for Review → Approved & Finalized, and only approved minutes can become reference examples.
- Private by design. Everything lives in a local database and file vault on your PC. Nothing leaves the device unless you configure an AI or transcription provider — and the app's Data & Privacy panel states exactly what would be sent and where.
- One file, no installation. The whole app is a single
.exe(~75 MB). Download it, run it — no installer, no CertSight account, no cloud required.
⚠️ Read before you buy — requirements and limits
- Windows 10/11 only. Minutes Studio runs on Windows today. No macOS or Linux version is included in this purchase — there is no Mac or Linux build yet. The download is a single-file .exe (~75 MB); there is no installer.
- The app is unsigned. Windows SmartScreen will warn on first launch ("Windows protected your PC"). Choose "More info → Run anyway" — only for the file you downloaded from this page after buying.
- This is a brand-new app (version 1.0.0, first released 2026-11-03). It is fully functional, but it has no track record yet — if you need battle-tested software, wait for later releases; your purchase includes this version as it is.
- AI is optional — and narrower than the name suggests. A guided AI Setup (presets for OpenAI, Ollama, LM Studio or any OpenAI-compatible endpoint, with how-to steps and a real connection test) lets a provider you configure polish the prose of discussion summaries only. The factual content always comes from the built-in local engine, polished text is rejected if it introduces a name or number that isn't in your materials, and the app is fully functional with no AI at all. AI runs on your own provider, key and billing — the $19.99 buys this software only, no AI account or credits.
- Transcription needs a provider you configure. Recordings are stored with the meeting, but they are transcribed only through a transcription provider set up in the app; with none configured, the app says so plainly instead of pretending a recording was processed. Speaker labels come only from the transcript or your correction.
- Not in this version (stated in the app, never faked): OCR of scanned or image-only PDFs and photos — v1 reports those files honestly as having no readable text; live meeting recording; Zoom, Teams or Google Meet imports; calendar and cloud-drive integrations; electronic signature approval routing. Legacy .doc files are attempted on a best-effort basis and labeled Partial or Failed per file.
- Your reference minutes matter. The format it learns is only as good as the approved examples you teach it with — plan on 3–4 genuine, approved minutes per organization for a faithful style profile.
If any of the above is a deal-breaker for you, Minutes Studio isn't for you yet — and we'd rather tell you now than after checkout.
